Role Assignment Workflow
This guide walks you through how roles change as your site grows. On the free plan you wear every hat yourself. On the enterprise plan with team members, you delegate roles so the right people own billing, settings, and the rosters for each crew. You stay the Account Owner, but the day-to-day work lifts off your plate.

Step 1: Free plan — you wear every hat
1One person, three roles
On the free plan there is only one user on the account: you. You are simultaneously the Account Owner (billing and the account itself), the Site Admin (settings, integrations, sender numbers), and the Superintendent (the person who actually builds and publishes the rosters). It works for solo operators and pilots, but every task lands on the same desk.

Step 2: Enterprise plan — delegate the roles
2Roles fly out to the people who own them
Once on the enterprise plan with team members, you assign each role to a specific person. The Account Owner role stays with you. Site Admin moves to the person handling billing and settings. Each crew gets a Crew Lead Superintendent who can edit only their own crew's roster. Crew members sit under their Superintendent and receive WhatsApp confirmations for their swings.

What each role can do
AAccount Owner
The person whose card the subscription is on. Has access to everything: billing, plan changes, all settings, all rosters, all crews. You can transfer this role to another user later if the account changes hands.
BSite Admin
Owns settings, integrations, sender numbers, and team management. Can see every roster across the site but does not need to be assigned to a specific crew. Best for an office manager or operations coordinator who supports the Superintendents.
CSuperintendent (Crew Lead)
Builds, publishes, and manages rosters for the crew they lead. Can edit only the rosters for crews they are a member of. Receives WhatsApp and email notifications when their crew declines or fails to confirm attending. Multiple Superintendents can lead the same crew if you need redundancy.
DCrew member
The people on the roster. The crew have their own read only screens. They receive WhatsApp messages asking them to confirm attending their upcoming swing and reply YES or NO. If they decline or do not respond, their Crew Lead Superintendent is notified and a backfill request is automatically created.
